Finding a specific call.

Every call Sarah answers lands on the Calls page. Here is how to get to the one you want fast, and why an older call can be harder to find.

The Calls page

Open Calls in the sidebar, under Receptionist. The page is headed Every call Sarah handled. and a line under the heading totals your calls for all time, for example 148 calls · 39 booked · $15,600 estimated recovered.

Calls are listed newest first and grouped by day in your time zone. Each day header shows the date, how many calls from that day are on the page, and the estimated recovered revenue for them. Each row shows:

Caller: the caller's name, phone number and the service they booked. A name only appears when Sarah booked the caller or recorded them as a lead. Otherwise the row reads Unknown caller. Outcome: what the call ended as, such as Booked or Callback requested. Duration and When speak for themselves.

Click any row to open the call. What you see there is covered in Reading a call. Browser test calls never appear on this page.

Narrow it down with filter chips

Above the list is a row of chips. The number on each chip counts all your calls of that kind, not just the ones on the current page.

All shows every call. Booked shows calls where Sarah booked a new appointment. Callbacks shows calls Sarah put through to you plus callers who asked to be called back. No book shows calls that ended without anything to act on: questions answered, wrong numbers, hang-ups. Leads shows calls where Sarah recorded a lead, and only appears once you have at least one.

Calls that moved or cancelled an appointment, emergencies and spam have no chip of their own. They show under All.

On a computer, the Search callsbox sits to the left of the chips. It searches the caller's phone number and nothing else. It does not search names, services or what was said.

Type digits only. Numbers are stored as +12125550147, so 2125550147 or just the last four digits, 0147, will find the call. Typing (212) 555-0147 with brackets, spaces or dashes finds nothing.

The search works inside whichever chip is selected. If a call doesn't turn up, switch to All first. Clear the box to go back to the full list.

Older calls: Load more

The page shows 10 calls at a time. Press Load moreat the bottom to see the next 10. The new calls replace the ones on screen, and your browser's Back button takes you to the previous 10. When there is nothing older, the list ends with End of log.

There is no date picker. To reach a call from a specific day, narrow the list with a chip or a phone number first, then use Load more and watch the day headers.

After 30 days

Thirty days after a call, Ansa clears the caller's phone number, name and transcript. The call itself stays in your list with its time, outcome and duration, but a phone number search will no longer find it. For older calls, browse by day instead. The full picture is in What Ansa keeps from a call.

Other ways in

Overview: the Recent calls list shows your latest calls. On a phone, tap one to open it. On a computer, click View all → to go to the Calls page. When the briefing at the top shows a button like Call Dana back, it opens that caller's call.

Notifications: each alert in the list links to the page it is about, so an alert about a call opens that call. Some alert texts also carry a link straight to the call.

Troubleshooting

Common problems
The search finds nothing.

Type digits only, with no brackets, spaces or dashes. Try just the last four digits. Make sure the All chip is selected.

If the call is more than 30 days old, its number has been cleared and search can't match it. Browse by day instead.

A call I know about isn't listed.

The Calls page only lists calls Sarah answered. If you or your team picked up first, the call never reached her. Test calls from your browser are left out on purpose. Refresh the page if the call happened a moment ago.

Every row says Unknown caller.

Sarah only has a name when she booked the caller or recorded a lead. Other calls read Unknown caller with the phone number underneath, until the number is cleared at 30 days.

Still stuck.

Email hello@tryansa.ai with roughly when the call happened and the number it came from.
